Information Security Policy



The Intelligent Option recognizes the importance of electronic communication and commerce (e-commerce) to the company's day-to-day operations.

The Intelligent Option is committed to using electronic services in a manner that promotes security, safety, accuracy, and efficiency. These activities bring automation and efficiencies to traditional tasks, resulting in improved customer service.

This policy is to be used as a guideline in the management of The Intelligent Option’s electronic services.

Client Information

The Intelligent Option collects and retains the minimal amount of client information required to conduct business. This includes essential contact details and transaction-related data. We do not collect or retain protected health information (PHI) or any other patient information.  The Intelligent option does not collect or retain medium- or high-risk client data such as social security numbers, banking information, credit card numbers, or driver's license numbers. 

Data Protection

The Intelligent Option appropriately secures its information from unauthorized access, loss, or damage.  Client information including names, email addresses, and phone numbers are stored on password-protected, company-issued computers and backed up using reputable cloud services. Client information is only used for legitimate business purposes and is not accessed for personal or unauthorized reasons. All employees have been trained in appropriate protection of client information.

The Intelligent Option retains client data only for as long as necessary to fulfill business purposes. Once data is no longer needed, it will be securely deleted.

Third-Party Services

The Intelligent Option uses third-party services, products, and software to support business operations. When available, The Intelligent Option uses multi-factor authentication (MFA) when connecting to third-party services. Software and systems are regularly updated with the latest security patches and updates. While we make every effort to use reputable, established vendors, The Intelligent Option will not be liable for data breaches or damage caused by third-party services, products, or software.

Incident Response

The Intelligent Option will immediately notify clients  of any suspected or confirmed security incidents, data breaches, or vulnerabilities in which client names or contact information may have been accessed.
